Privacy Policy
ShiftGrind is a shift calendar, leave, working-hours and estimated-pay app provided under the KMM Tech developer name. This policy explains how ShiftGrind accesses, uses, stores and shares information and how to contact us about privacy.
1. Local data and pay privacy
ShiftGrind stores the profile name and email you enter, shift patterns and modifications, leave plans, recorded hours, overtime entries, pay rules and estimates, ShiftProof comparisons, and PIN/privacy preferences in the app's local device storage. Your setup email is a local profile field, not a ShiftGrind online account. The reviewed app does not send that profile information or your pay figures to a ShiftGrind account or payroll server.
Pay calculations are estimates based on information you provide, not your employer's official payroll records. The Hide Pay feature and four-digit PIN are designed to limit casual viewing of pay amounts on your screen. These safeguards do not guarantee protection against every kind of unauthorized access.
2. Payslip screenshots, PDF files and scanning
If you select timekeeping screenshots, photos or payslip PDFs, ShiftGrind uses on-device document handling and text recognition to help extract figures for your review. In the reviewed Android app, the contents of those files and extracted pay amounts are not uploaded to a ShiftGrind server.
The original files can remain in your gallery or file storage. On supported devices, document capture may use Google Play services scanning technology, which can process technical device and diagnostic information under Google's terms. Do not upload or share another person's private records without permission.
3. Weather and location
ShiftGrind's optional weather display can request Android location permission when the dashboard weather feature loads. If permitted, Android may provide approximate or precise coordinates, depending on the permission you grant. The app rounds the coordinates to about three decimal places and transmits them using HTTPS to Open-Meteo to request a forecast. Rounding does not fully anonymize location. Open-Meteo may also receive your IP address and related request metadata and process request logs under its own terms.
You may decline or revoke location access through Android settings and continue using shift calendars and other features that do not need location. Weather information may not be available without location permission.
4. Optional access to phone-calendar appointments
When you choose to connect a phone calendar, ShiftGrind requests read-only Android calendar permission. It reads information from calendars you select, including event titles, dates and times, to display appointments alongside shifts. An expanded widget may read a useful portion of an event description locally if a title is missing. The app stores your selected calendar IDs and display preferences locally.
The reviewed app does not ask to write events to the phone calendar or transmit those appointments to a ShiftGrind server. Your calendar provider may synchronize your calendar independently. You can disconnect this feature or revoke calendar permission. Appointment titles on a home-screen widget can be visible to someone looking at your device; the display preference can be disabled.
5. Alarms, reminders and home-screen widgets
ShiftGrind uses Android alarm, notification, scheduling and widget capabilities to display shift information and notify you of upcoming shifts where supported by your device. Information shown on your phone's home screen may be visible to others. Functionality depends on device settings and permissions.
6. Third-party services and off-device information
- Open-Meteo may receive location coordinates and network request information for optional weather forecasts, as described above.
- Google ML Kit and Google Play services help provide document scanning and local text recognition. These SDKs may collect device or application details, installation identifiers, performance metrics, error reports and feature-use information for diagnostic and analytics purposes. This technical information is distinct from the document content processed locally.
- Cloudflare hosts this legal website and may process IP addresses and technical connection details needed to serve it. This legal-only site has no installed analytics, ad pixel, registration form or payment processing.
- Email service processes the email address, contents and attachments of messages you voluntarily send to ShiftGrind support, for responding to your enquiry and managing related privacy requests. Please do not send your PIN or an unredacted payslip in an initial email.
If you choose to export or share your roster through another app, the destination and its service provider handle the information you deliberately send under their own policies. The Android release reviewed for this policy does not include an advertising SDK or live in-app subscription checkout.
7. Retention, access and deletion
Rosters, notes, pay data and settings stored by ShiftGrind remain in the app's local storage while you keep that data. You may change or remove individual records through available app features. Clearing the app's data in Android settings or uninstalling generally removes its local records and may be irreversible; independent exports or files saved outside the app are not removed by those actions.
The reviewed app does not create ShiftGrind cloud accounts and therefore does not have cloud-account deletion. An older beta included an email-signup mechanism; if you submitted information in an earlier beta, contact us so we can check what information we may still hold and assess an access, correction or deletion request.
Support messages are retained with our email provider as long as reasonably needed to resolve enquiries, investigate security issues or satisfy legal obligations. You can ask about, obtain or request deletion of data we hold, subject to applicable law and appropriate identity checks. External service providers independently determine retention periods for their technical logs.
8. Security and your choices
Known transmissions for optional weather and the Android SDK services described above use encrypted connections. Most roster, hours and pay processing takes place on the device. Android app storage controls and ShiftGrind's privacy features provide safeguards, but no app can guarantee absolute security.
You may deny or revoke optional location and calendar permissions, hide pay information using its privacy controls, and choose when to export information. For enquiries or privacy rights, contact us using the details below.
9. Changes to this policy
We may update this Privacy Policy when app features, providers or applicable legal requirements change. The date at the beginning of this page will identify when the revised policy takes effect.
